Security update - May 2026
The May April security update includes information on retention of learner evidence, delivery requirements and test answer sheets.
Retention of learner evidence
A reminder that all learner records (e.g. English language assessments, First Aid certificates, signed attendance registers), written assessment evidence, internal quality assurance records and test documentation (e.g. test room checklist, test log and seating plan) must be retained by you for 3 years.
Did you know…the evidence can be retained in hard copy format or can be scanned in and saved electronically. You do not have to retain both the hard copy and electronic files.
Delivery requirements: Assessors should not participate in assessments
A reminder that assessors must not act as a participant whilst assessing the physical intervention activities.
This requirement is outlined in Get Training:
‘Each course needs a minimum of 3 participants to deliver the practical skills for physical interventions effectively. The assessor should not act as a participant whilst assessing learners. This is to ensure that they can assess all learners effectively and monitor safety.’
This also applies to other practical assessments. For example, if the learner is using a radio to communicate with ‘a colleague’ as part of the assessment for AC7.5 in the Door Supervisor unit (‘Demonstrate effective use of communication devices’), the assessor must not play the part of the colleague on the other radio.
Test answer sheets
Did you know…when you are preparing the test documentation ready for learners to sit the tests, you can type in the learner’s forename, surname, date of birth and learner number on the test answer sheet for them.
If the information is handwritten and is illegible or incomplete, this can cause delays to processing the answer sheets, or even result in the learner’s answer sheet being invalidated. Typing in these details makes it easier to process the test answer sheets and means we can process them and get results issued more quickly!
Reminder…at the end of the test, the invigilator should check that the learners have completed their details correctly before the learners leave the test room. If there are any issues they should notify the test manager, who should make sure they are completed before they get sent into us.
