Submitting GCSE and A level PE coursework marks in Summer 2017
This update contains a quick summary of how to submit GCSE PE and A level PE coursework marks. It includes a reminder of the submission deadline. There is also one very important change to the process this year which teachers need to know about!
A guide to submitting controlled assessment/coursework marks in summer 2017
This year we will no longer be sending out hard copy OPTEMS forms (optically scanned mark sheets) for you to submit controlled assessment/coursework marks. This means that all marks will need to be submitted online via Edexcel Online.
So… no more waiting for OPTEMS to arrive in the post and instead you will need to familiarise yourself with the process of submitting marks online. This is a straightforward process which is covered below.
How do I submit my controlled assessment marks to Pearson?
You can no longer submit marks on an OPTEMS form (optically scanned mark sheets) so all marks must be submitted online via Edexcel Online.
Important: You may need to amend your Edexcel Online access to allow you to submit controlled assessment marks online. To do this your exams officer will need to go into your Edexcel Online account and under ‘profiles’ tick the box next to ‘Coursework and Portfolio’. If they also tick the ‘Results’ box you will be able to view your E9 moderator report on results day.
After submitting marks online you should print out a copy of the marks for the moderator and a copy for your own records.

If you’ve forgotten your Edexcel Online password you can generate a new one.
What happens if I make an error when submitting controlled assessment marks?
If you have already submitted a mark but it needs to be amended (eg because of an administrative error), please email email@example.com with details of the student and amended point score.
What is the deadline for submitting controlled assessment marks?
The final date for submitting GCSE PE controlled assessment marks/GCE PE coursework marks for the summer 2017 series is 15 May 2017.
This is the date by which you must have submitted your controlled assessment/coursework marks to us via Edexcel Online. Please note that your Exams Officer will have their own internal deadlines.
Where a centre has been affected by circumstances beyond its control, it may, in exceptional cases, be possible for us to grant a short extension. Requests must be sent to the PE assessment team at firstname.lastname@example.org.
GCSE PE – applying for special consideration
As the moderation window is coming to the end, I know that sometimes candidates are injured or ill at the time of moderation and teachers often are unaware as to what to do.
If you have candidate who is injured/ill for the moderation visit but you think could be better/fit by 5 May then, if it is appropriate for you and the candidate, you can assess the candidate after the moderation day but before 5 May – (Pearson must receive all paperwork by 15 May). You must liaise with your moderator and advise him/her of the situation and discuss when the assessment for the individual candidate will take place and the moderator may request that you send evidence of the assessment (e.g. video). If you assess the injured/ill candidate in activities at a different date to the moderation day (but before 5 May), the marks that you award to the candidate (provided you have assessed the candidate in 2 activities- short course or 4 activities - full course) should then be submitted on the PE2MS and OPTEMS form and you do not need to request special consideration.
If you are unable to assess the candidate (on the day or during the window) you will need to apply for special consideration. You must complete the specific PE form (Form 10 PE):
We have produced further guidance to ensure you have the correct evidence - you will need to provide ONE of the following pieces of evidence:
- Medical evidence e.g. hospital appointment/physio letter/ letter from consultant
- JCQ Form14 (self certificate)
- Letter for Head of Centre/Head of PE on headed paper.
In addition, there is a box headed ‘reasons for special consideration’. You must provide as much information as possible to explain why a candidate could not participate in the moderation day. For example:
- candidates condition
- date the candidate is unable to participate e.g. candidate was unable to participate in the moderation day which was 1 April 2017 because they are still injured and recovering from a broken leg
- any other information that the centre may think is relevant.
Please note: you must ensure that the information explains that the candidate is ill/injured at the time (e.g date) of assessment/moderation.
