Cohort confirmation activity

Now that we have passed the 22 March entry deadline, we are in touch with colleges and schools where learners are still missing summer assessment entries. These are learners which we are expecting to receive an overall qualification result in August 2024. 

We’ll be in contact with you directly to help you make any outstanding entries and ask you to sign a cohort confirmation. If learners no longer require an overall qualification result in August 2024, you should change their estimated completion date or withdraw registrations if they are no longer completing. BTEC key dates timeline and what to expect in 2023/24

Our key dates timeline has been designed to ensure results are delivered successfully to all learners in August 2024. Following feedback from colleges and schools, we have made some changes to our key dates to make the process easier for you to manage.

We’ve also made several improvements to the processes and delivery of BTEC results in summer 2024. You can read a summary of our findings, along with the improvements we’ll be making for 2024 in the key dates document.

How do I know if learners need an external assessment entry making?

Your centre’s exams officer will have received a report to their Edexcel Online mailbox, detailing all your learners where an external assessment entry needs to be made so we can deliver qualification results in August 2024. 

I’m waiting for results from January and February external assessment, is there a different deadline? 

Yes, if you are waiting for results for learners from the January, February or March series before deciding to make resit entries there is an extended deadline.

If you are awaiting results from the January series you have until the 29 March to make resit entries without incurring a late fee.

If you are awaiting results from the February series you have until the 12 April to make resit entries without incurring a late fee.

If you are awaiting results from the March series you have until the 3 May to make resit entries without incurring a late fee.

5 July is your deadline to make full award claims, including inputting all internal grades, for learners expecting a result following the release of May/June 2024 external assessment results. All outstanding actions should also be completed by 5 July.

We are unable to guarantee learners will receive a qualification result on learner results days if qualification claims or internal assessment grades are provided after 5 July. If we do receive qualification claims or internal grades for learners after the 5 July deadline, Pearson reserves the right to charge centres £100 for each of these learners that receives a result on learner results days.

You should complete your cohort declaration by 9 February. This should be completed by your head of centre, or someone who has the authority to act on their behalf.

When signing the declaration, you will need to declare that all estimated completion dates are accurate for all your registered learners by 9 February. This means we will have a shared view of all your learners that are expecting an overall result in summer 2024, and we can track these throughout the year.

How do I use the estimated completion date data you’ve sent me to my Edexcel Online mailbox?

The spreadsheet which has been sent to the Edexcel Online mailbox of exams officers and head of centres is all your BTEC, T Level and Tech Awards (2022) live registrations at your centre. Data here has been grouped by qualification suite, programme code and completion date. So that you can filter by completion date, we’ve created these categories for you.

  • Historic registrations – These are learners with completion dates in the past, you may need to change their completion date or withdraw these learners.
  • Before summer 2024 – These are learners with completion dates between now and April 2024, and before summer.
  • Summer 2024 – These are learners with completions dates between April-August 2024 and we will track these learners as your summer cohort.
  • After summer 2024 – These are learners with completions dates in the future, after August 2024. At present these should not expect results in August.

How do I change an estimated completion date for BTEC qualifications?

How do I know which estimated completion date I should use?

It’s important to choose the correct date, so that we know which of your learners are expecting an overall result in summer 2024.

How do I update my estimated completion dates for T Level?

The way that you submit estimated completion dates for T Levels is different to BTEC qualifications. We’ve sent the estimated completion dates for T Levels in the learner data we’ve sent to your Edexel Online mailbox. If you need to correct any completion dates, you should follow the instructions on our T Level estimated completion date spreadsheet, and email this to completinglearners@pearson.com.

How do I update my estimated completion dates for BTEC Tech Awards (2022)?

The way that you submit estimated completions dates for BTEC Tech Awards (2022) is different to other BTEC qualifications. We’ve sent the estimated completions dates for BTEC Tech Awards (2022) to your Edexcel Online mailbox. If you need to correct any completion dates, you can amend these yourself in Edexcel Online. This is a new feature, and will be live by 23 January. We’re in touch with all Tech Award centres to give more information on how you can change estimated completion dates when this is live.
